We are now looking for a Project Secretary for one of project for about 6 months to be based at Kelapa Gading Area

Job Description

Our transport planning and rail design team finalised the feasibility study of a mass Bekasi monorail transport system between Bekasi and Jakarta.

Our portfolio in the sector includes environmental and social impact studies and design for 600km of road improvement and capacity expansion in Sumatra, Java and Sulawesi.

The individual will be required to :

  • To process various documents (format and typing) and electronic information; including to support necessary translation within the project
  • To ensure all communication runs well within the project team and maintain rapid response rate according to agreed standards, as well log information on calls received
  • As a contact point on internal and external meeting arrangement
  • Create financial and statistical tools and reports using MS Office program
  • Arrange and participate in meetings, conferences, and project team activities as well to keep necessary log on mentioned activities
  • Type and word-process various documents and electronic information
  • Answer phone calls and maintain a rapid response rate according to agreed standards, as well log information on calls received, where required and maintains detailed and accurate records.
  • Responsible for procurement of office equipment and consumable supplies for effectiveness of personal duties
  • Log information and distribute incoming letter; making record of outgoing letters and manage the delivery to the courier.
  • Ensure the office equipment (shelves, chairs, desks, etc) sufficient and in a good condition for all employee; planning and coordinating action for unused office equipment
  • Create financial and statistical tools and reports using spreadsheets
  • Manage office cars and its related matters (petrol, parking and toll payment)
  • Arrange and participate in meetings, conferences, and project team activities
  • Candidate Specification

  • Candidate must possess at least a Bachelor's Degree, Secretarial or equivalent.
  • Fluent in speaking and writing English is a MUST
  • Contract Project, expatation up to October 2018
  • At least 6 year(s) of working experience in the related field is required for this position.
  • Preferably Staff (non-management & non-supervisor)s specializing in Secretarial / Executive & Personal Assistant or equivalent.
  • To be based in Kelapa Gading Area
